Rental Terms & Conditions

Key Rental Policies
• Pickup Window: 9:00 AM – 11:00 AM on the event day
• Return Deadline: By 12:00 PM (noon) the following day
• Security Deposit: $150 refundable deposit required per order
• Equipment Condition: Items must be returned clean, dry, and undamaged
• Late Returns: May result in an additional rental day charge
1. Rental Period & Schedule
Easy Party Rentals operates on a standard rental schedule designed to provide customers adequate time for event setup while allowing equipment to be inspected and prepared for the next rental.
Pickup Window:
9:00 AM – 11:00 AM on the scheduled event day.
Return Deadline:
All rental items must be returned no later than 12:00 PM (noon) the following day.
Example:
If your event is Saturday, pickup occurs Saturday morning between 9–11 AM and items must be returned by Sunday at 12:00 PM.
Items returned after the 12:00 PM return deadline may be charged an additional full rental day.
2. Pickup, Transport, and Return
All rentals are customer pickup and return unless otherwise arranged.
The Renter is responsible for:

Safe loading and transportation of equipment

Ensuring items are properly secured during transport

Returning all items by the agreed return time
Easy Party Rentals LLC is not responsible for damage that occurs during transportation.
3. Equipment Condition
All equipment is inspected and provided in good working condition.
The Renter agrees to return all equipment:

Clean
-
Dry
-
Free of damage
-
In the same condition as received
Items returned excessively dirty may be subject to a cleaning fee.
4. Responsibility for Equipment
The Renter assumes full responsibility for the equipment from the time of pickup until it is returned and inspected.
The Renter agrees to:

Use equipment only for its intended purpose

Not misuse, modify, or abuse rented equipment

Ensure equipment is supervised during use
The Renter is responsible for any loss, theft, or damage occurring during the rental period.
5. Security Deposit
A $150 security deposit per order is required for all rentals.
The deposit may be held as an authorization or charge on the Renter’s payment method.
The deposit may be used to cover:

Damaged equipment
-
Missing items or components
-
Cleaning fees for excessively dirty equipment
-
Late return fees
If no issues are found, the deposit will be released after equipment inspection. The Company may hold the deposit for up to 48 hours after equipment is returned to allow time for inspection.
If damages exceed the deposit amount, the Renter agrees to pay the remaining balance.
6. Damage, Loss, or Missing Items
If equipment is returned damaged, missing, or unusable, the Renter agrees to pay the cost of repair or replacement.
If equipment cannot be repaired, the Renter will be charged the full replacement value of the item.
7. Weather & Outdoor Equipment
Outdoor equipment (including tents and canopies) must be properly secured and used safely.
The Renter assumes all responsibility for weather-related risks and agrees to discontinue use if conditions become unsafe.
Easy Party Rentals LLC is not responsible for injury or damage resulting from improper setup or unsafe weather conditions.
8. Liability & Hold Harmless Agreement
The Renter assumes all risk associated with the use of rented equipment.
The Renter agrees to release, indemnify, and hold harmless Easy Party Rentals LLC, its owners, employees, and agents from any claims, injuries, damages, losses, or legal actions arising from the use or misuse of rental equipment.
All equipment is rented “as‑is.”
9. Authorization to Charge for Damages
The Renter authorizes Easy Party Rentals LLC to charge the payment method on file for:

Damaged equipment

Missing items
-
Cleaning fees
-
Late return fees
-
Repair or replacement costs exceeding the deposit amount
10. Equipment Condition Documentation
Easy Party Rentals LLC may photograph or document equipment before and after rental to verify the condition of items.
These records may be used to resolve damage disputes or payment disputes.
11. Payment Authorization & Chargeback Agreement
By completing a rental order, the Renter authorizes Easy Party Rentals LLC to charge the payment method provided for rental fees, security deposits, damages, missing items, cleaning fees, late return fees, and any other charges permitted under these Terms and Conditions.
The Renter agrees not to initiate a payment dispute or chargeback for legitimate charges related to the rental agreement. In the event a chargeback is filed for a valid charge, Easy Party Rentals LLC reserves the right to provide this agreement, order records, and equipment condition documentation as evidence in dispute resolution.
12. Cancellation Policy
Cancellations must be made at least 24 prior to the scheduled rental date.
Late cancellations or no‑shows may result in forfeiture of rental payment.
13. Governing Law
These Terms and Conditions are governed by the laws of the State of Oregon.
Any disputes shall be handled in the appropriate courts within Oregon.
14. Agreement
By placing a rental order, the Renter confirms they have read, understood, and agree to these Terms and Conditions.
